Give every missing document a next step.
Start with a shared list that tells people what is missing, who owns it, and when it will be checked again.

One list tells the team what is missing, who owns it, and when to check again.

- 02Name the owner

One reference
Use the same job or order reference in the folder, email subject, and document register. Keep sensitive details out of filenames.
One responsible person
Each missing item has one owner. A group chat can discuss it, but the register names who takes the next step.
One check time
Agree when the list is reviewed and what counts as received. Avoid repeated reminders when nothing has changed.
A document register people can use
Use these columns in a shared sheet. Link to the authoritative document rather than uploading a new copy into every chat. Keep access limited to the people who need it.
| Reference | Missing item | Owner | Next action / due |
|---|---|---|---|
| JOB-101 | Supplier invoice | Purchasing | Check approved inbox by 3 PM |
| JOB-102 | Signed delivery record | Operations | Verify the uploaded copy tomorrow |
Keep statuses specific
- Missing: the required document is not in the agreed location.
- Received, needs review: a file arrived, but its reference or completeness is not yet checked.
- Verified: the responsible person checked it against the agreed requirement.
- Not required: an authorized person documented why this item does not apply.
A handoff that survives the next shift
- Who owns it?
- Ana · Operations
- When do we check?
- What can the agent do?
- Check the approved folder and remind Ana internally.
Illustrative example. These are sample records, not a client result or a live system.
Before handing over a job, name the missing item, the last check, the next action, and the deadline. If a file arrives in a message, put it in the approved location and update the register.
An agent can help check agreed locations and prepare the missing-item list. It should not treat a filename as proof that the document is complete, or mark work finished just because someone said “sent.”
Count the effort you can actually recover
Example: eight people each spend five minutes a day asking for document status. Over 20 workdays, that is about 13 hours and 20 minutes. It is an illustration, not a Puestario result. Subtract the time required to keep the register accurate before calling it a saving.
Run the shared list for a week. If it solves the problem, keep it simple. If checking several systems is still the slow part, that is a clearer task to assess for automation.
