How Is an AI Agent Different From a Chatbot?
A helpful answer is one thing. Checking the actual work and taking a permitted next step is another.

AI agent vs chatbot: look at what it can do.
A chatbot primarily talks with you. An AI agent can also retrieve information, use tools, follow a workflow, and take actions you have allowed. The useful question is what the system can actually access and do.
Context is the information needed to understand a request. Tools are connections that let the AI check a calendar, read a job list, or prepare a report. Permissions set the limits on those connections.
The difference at a tire shop's end-of-day closeout
Imagine a shop owner who wants to leave without overlooking unfinished work. These are example exchanges, not a live system or a customer result.
How should I close the shop tonight?
Check completed jobs, review unpaid invoices, confirm tomorrow's schedule, and note anything unfinished.
That can be a useful checklist. But someone still needs to open the systems and do the checks.
Prepare tonight's closeout from the approved job list, invoice status, and schedule. Flag missing information.
With working integrations and the right permissions, an agent could:
- Check today's completed jobs against the schedule.
- Find invoices marked unpaid in the approved system.
- Identify records with missing amounts or an unclear status.
- Prepare a summary with links to the source records and the time it checked them.
- Flag exceptions for the responsible person.
- Send the approved internal report if that action is allowed.
If the invoice system is unavailable, the report should say so. A missing connection must not become a confident claim that everything is paid.
Staff could use an approved messaging interface to ask these questions. The WhatsApp connection guide explains the architecture and platform limits.
When should you use a chatbot? When does an agent make more sense?
Use a chatbot
- You want to learn, brainstorm, rewrite, or plan.
- You can provide approved information for a one-time question.
- A person will do the work after reading the answer.
- Connecting company systems would add little value.
Consider an agent
- The same digital job repeats often.
- The answer needs current information from approved systems.
- The steps and permission limits can be written down.
- Someone can test the results and handle exceptions.
If a fixed rule already handles the job well, ordinary automation may be enough. An agent earns its place when interpreting the request or handling varied information actually helps.
A staff message is evidence to review. It does not prove the accounts are reconciled.
- Responsible
- Closing supervisor
- Next action
- Check the receipt and correct the source record.
Illustrative example. These are sample records, not a client result or a live system.
When should a human stay in control?
A person should approve access changes and review work that could affect money, people, or important records. Keep payment execution, customer promises, and public messages outside Puestario's standard internal desk scope.
Let the agent prepare an invoice correction for review. Let a responsible person decide whether to apply it. Give staff only the data needed for their roles, even when they use the same agent.
Start with a small, measurable test. And remember the human bottleneck: picking the right job and recognizing a bad answer matter as much as the label on the tool.
