Close the shop with a list you can trust.
Give every open item a name, an owner, and a next step before the last person leaves.
Concept illustrationEvery open item. A next step.
Tickets, payments, and parts come together in a closing list your team can review before leaving.

Gather the same records each day
Choose a closing time and a person responsible for the check. Use the day's work orders, payment report, parts records, and appointments for the next shift. Use the same date range and explain any late activity separately.
This is an operational checklist. Your accounting system and approved accounting procedures remain the records used for financial reporting.
The six checks
A worked example
A staff message is evidence to review. It does not prove the accounts are reconciled.
- Responsible
- Closing supervisor
- Next action
- Check the receipt and correct the source record.
Illustrative example. These are sample records, not a client result or a live system.
Illustrative numbers: 10 completed tickets total $2,400. The payment report shows $2,250, leaving a $150 difference. The staff member who checks ticket 108 says it was paid in cash, but the cash entry is missing.
Keep the item open: “Ticket 108: $150 difference. Cash reported by staff; entry not yet verified. Responsible: closing supervisor. Next action: check the receipt and correct the source record.” A message is evidence to review, not proof that the system is reconciled.
Where an agent can help
With approved access, an agent can collect the agreed records, compare structured totals, and draft the exception list. A person resolves unexplained differences and approves corrections under the shop's procedures.
A shop system may already provide useful reports. Start there. Test an agent only for a remaining gap, such as bringing an agreed set of exceptions into one internal summary.
Measure the close, including review time
Record how long the close takes, how many exceptions were found, and how many needed correction the next day. Compare similar days before and during a test. Finishing quickly is useful only if the close is accurate.
