How to Connect WhatsApp to Your Business Software

A familiar chat interface can make business information easier to reach. The connection behind it still needs permission, reliable data, and an allowed use.

Connected, with clear boundaries.

Your business systems remain the source. The agent gets the access needed for the agreed internal job.

  1. 01Check permissions
  2. 02Prepare the work
  3. 03Keep people in control

An AI agent and WhatsApp: first check what is allowed.

The appeal is easy to understand: employees already know how to send a message. If the exact use is permitted, messaging can be the front door to an internal agent that checks approved company systems.

This guide does not announce a new Meta product or promise access to a future WhatsApp agents feature. Puestario's internal service scope also does not include automated customer messaging.

How the connection would work

The chat message is the request. The connected business system remains the source of truth. The agent needs a permitted way to look up the answer, not just a convincing way to write one.

How the pieces connectPuestario
A request becomes a checked result.
  1. 01Your team asks

Through an approved channel that permits the intended use.

  2. 02Access is checked

Who is asking? Which records and actions are allowed?

  3. 03The agent prepares

Reads approved sources and prepares the scoped task.

  4. 04People review

A useful answer, an exception, or an allowed internal update.

The standard desk does not contact customers or move money. An approval does not expand the agreed scope.

Conceptual workflow. Each account, connection, and action must be assessed and agreed. Cloud processing may be involved.

An API is a defined way for software to request information or actions from another system. Some shop, accounting, and CRM tools offer one. Others limit access, charge for it, or do not expose the information your job needs.

Each capability depends on an available integration, account permissions, accurate records, security controls, and the actions your business allows. Connecting one system does not automatically connect the rest.

Five questions worth designing around

These are hypothetical staff questions. Maria Rodriguez is an example name, not a customer record.

  1. “How much did we collect today?” Define the time zone and whether collected means paid, settled, or deposited. Restrict the answer to authorized roles.
  2. “Which invoices are still unpaid?” Read the approved invoice status and show when it was checked.
  3. “Did customer Maria Rodriguez pay?” Match an authorized record by a reliable identifier. Ask for clarification when names repeat.
  4. “What jobs are scheduled tomorrow?” Use the current schedule, not a remembered version of it.
  5. “Is anything from today's closeout missing?” Compare the records with the business's written closeout checklist.

A useful reply names the source and the last check time, flags uncertainty, and says when data is unavailable. It should never turn “I could not connect” into “nothing is missing.”

Only approved business information should be returned, and only to the right person. A name or business contact can still be personal data. Keep sensitive records outside the test and avoid posting private answers into shared groups.

Read-only access and write access are different promises.

Read-only

  • Look up approved records.
  • Compare a schedule with completed work.
  • Prepare an internal summary.
  • Flag a problem without changing the record.

Write access

  • Change a record or create a task.
  • Send a permitted internal report.
  • Requires specific action limits and a change log.
  • May require a person to approve the exact change first.

Start read-only when practical. It still needs privacy and access controls, but it makes it easier to check the answers before allowing changes.

For example, an agent can draft a proposed status correction and ask the authorized person to review it. Changes to permissions need an administrator. Payments and customer messages remain outside Puestario's standard internal desk scope, even if someone requests them in chat.

Start with one question and one approved source.

Choose a question your team asks often, verify the channel is permitted, and connect only the records required to answer it. Test wrong names, stale records, a lost connection, and requests from people without access.

Then follow the small-business setup guide. Businesses nearby can also review Puestario's work in Doral and Miami to find a sensible first job.
